Leave balances that keep themselves current on a monday.com HR board
A Make scenario keeps each employee's paid-time-off balance on a monday.com HR board in step with their leave records. It handles two kinds of change, a leave request and a balance adjustment, routes each by leave type, and works the balance out from the records in the employee's group.
Where this applies
Small businesses that run HR on monday.com and want leave balances kept current without a separate HR system.

The problem
A small business on monday.com can track leave requests on a board easily. Knowing how much leave each person has left is harder, because a column on one item can't add up the items around it, so balances end up kept by hand, and a hand-kept balance is wrong the first time someone forgets.
Different kinds of leave draw on different allowances, and a manager's adjustment (days carried over, a mistake corrected) has to move the same balance without being mistaken for a request.
What we built
Two kinds of change
The scenario watches the HR board's events and routes first on what happened: a leave request or a balance adjustment. Each path fetches the item and then lists the items in its group, which hold that person's leave records.
Computed from the records
The balance is computed from the records in the group, so it reflects them as they stand rather than a running tally kept somewhere else.
One route per leave type
A second router splits by leave type, three ways for requests and two for adjustments, and each route writes the updated figures to two columns on the board.
The outcome
Built in February and March 2026 and switched on. It runs only when leave is requested or adjusted, and had no runs in the 30 days to 21 October 2026.
Where it stops
It has not run in the last 30 days, so this page describes the build rather than a period of use. Companion scenarios that update leave records and set up a board for each new hire are not described. Balances are computed from the items in a group, so a record in the wrong group gives the wrong balance.
