Automating the CRMs and AI phone agents of a home-services contractor
A contractor that sells sewer, excavation and in-home finishing work by estimate answers its phones with AI voice agents and runs a lead CRM beside a sales CRM. Skofi built Make automation between them: a daily batch sync, and the tools and reports around the phone agents.

The organisation
The contractor works under two brands, one for sewer and excavation jobs and one for finishing work in the home, and sells by estimate: a lead comes in, someone visits the site, a quote follows. Leads arrive through a marketing CRM that handles calls, texts and forms; deals and reporting live in a separate sales CRM.
Calls are handled by AI voice agents that answer the lines and call leads back. They need to book estimate visits, send follow-up texts and leave a record of every call that staff will read, and each of those actions writes into a live system.
Skofi's work in Make covers both sides: keeping the two CRMs in step, and the booking, messaging and reporting scenarios around the agents. Each flow has its own page, because each would apply, as it is, to another business running a lead CRM and an AI phone line.
What we built
- 01
Lead CRM to sales CRM batch sync
Copies each day's new and changed contacts and deals from the lead CRM into the sales CRM, in batches.
2 scenarios · read the flow - 02
AI phone agent tools and reporting
Books estimate visits and gates every outbound text for the AI agents, and turns their calls into summaries, alerts and a daily report.

The outcome
Two flows and seven scenarios. Five are switched on; the booking tool and the send gateway, built and tested in October, are off.
At least 1,100 runs in the history read: at least 914 call summaries since 18 September, 34 daily syncs, 46 call-record runs for the second agent and 106 test runs of the two tools.
8,551 credits in the current billing period across the seven, more than half of it (4,890) the daily sync.
Two errors in the history read: one in the call-record scenario and one on the booking tool's test day.
Where it stops
The agents' booking and messaging tools are built and tested but switched off, so the agents cannot yet book or text through them, and the CRM sync runs one way. The account is being rebuilt: a modular platform in draft, a leaner rewrite of the agents' record writer, partner intake and estimator-app scenarios with no traffic this period, and intake scenarios built in the last few days are all left out. This page draws only on complete builds.
