Automating a home builder's subcontractor paperwork and social posting

A US home builder keeps its subcontractors and its social content in Airtable. Skofi built Make automation for both: agreements sent for signature and filed, insurance certificates and W-9s read and filed against the vendor, and approved posts published to three networks.

The organisation

The builder works through subcontractors, and each one needs a signed master service agreement, a current certificate of insurance and a W-9 before they start. Vendors, their documents and their status live in Airtable; agreements go out for e-signature and files are kept in cloud storage.

The same team markets its homes on Instagram, Facebook and Pinterest from a content calendar in Airtable, with captions drafted by AI and approved before anything is posted.

Skofi built the social scenarios from late 2024 and the paperwork flow in the first half of 2025. Each flow has its own page, because each would apply, as it is, to another builder or to any business with a photo-led brand.

The outcome

  • Two flows; seven of the builder's scenarios are described. Two are switched on: the agreement-on-sign-up step and the social publisher.

  • The publisher ran 14 times between 19 September and 20 October 2026 without an error. The paperwork scenarios have no runs in the period Make's history still holds.

Where it stops

Most of the paperwork flow is switched off, so signed agreements are not being filed back and certificates are not being read, and the certificate reader needs moving off a deprecated module first. The caption generator that feeds the publisher, test copies, a newer webhook-driven publisher with no runs and an earlier W-9 build are not described. This page draws only on complete builds.
