Job costing and variations for an Australian kitchen builder

An Australian business that designs and builds kitchens ran its jobs on monday.com and its books in Xero. Skofi built Make automation between the two: every supplier bill posted line by line to the right job's budget, and variations sent to clients as branded PDFs. The scenarios are now switched off.

The organisation

The business designs and builds kitchens and joinery. Each job has an estimate, a budget split into cost categories (cabinetry, benchtops, appliances, labour and more), tasks, and a run of supplier bills. Jobs are managed on monday.com, estimates come from a construction estimating tool, and the books are kept in Xero.

Two jobs were slow. Knowing whether a job was over budget meant matching supplier bills to jobs by hand, line by line. And every change to a job's scope needed a variation document typed, sent and tracked until the client agreed.

Skofi built a set of Make scenarios around the jobs, covering budgets, tasks, quantities, receipts, cash flow and variations. This page and the flow pages describe the two that can be shown as complete builds.

The outcome

  • 22 scenarios in the account, all switched off. Make holds no run history for them in its retention window, so there are no live figures to report.

  • The job-costing scenario routes each bill line to one of twelve cost categories and creates the budget item when it is missing. The variation scenario builds each document from a template the business can edit itself.

Where it stops

Nothing described here is running, so nothing has been measured. The variation approval steps, the estimate import, the budget, task and quantity scenarios, receipts and cash flow are not described, because they could not be confirmed as complete builds.
