Vendor onboarding packets: sent with a token, chased on a cadence, filed for review

Make scenarios email each eligible vendor a personal onboarding link, remind them at fixed intervals, and when the signed packet comes back, match it to the vendor, file it and log every document for a person to review.

Where this applies

Any business that onboards contractors or suppliers and needs agreements and documents returned and matched to the right vendor.

The problem

Businesses that work with contractors need each one to return an agreement and supporting documents before they can be given work. Chasing that by hand across a hundred vendors is slow, and a return that cannot be matched to the right vendor is a compliance gap.

The process has to be hard to spoof, tolerant of different ways a vendor might respond, and honest about what it has not checked: it can file a licence, but only a person can say it is valid.

What we built

01

A link that only that vendor can use

The send scenario selects vendors who have not been sent a packet, are not inactive and have an email, generates a per-vendor token as a SHA-256 of the record id, a timestamp and a random value, stores it on the vendor and emails a personal form link carrying the vendor id and token. The deadline in the email is read from a cycle record rather than written into the template.

02

A reminder cadence encoded in a formula

The reminder scenario runs daily and selects vendors still marked sent and not received where the days since sending equal 7, 14, 21 or 28. No state machine is needed. From the third reminder onwards the subject and header switch to a final-reminder tone, in the same template, and the reminder count is incremented.

03

Token first, email second, create if neither

When a signed packet arrives, the watch scenario fetches the full submission and finds the vendor by the token, falling back to a case-insensitive email match, and creates the vendor if neither matches, so both direct and older links work.

04

Idempotent filing

It finds the vendor's folder in Drive by name, checks that it is a direct child of the profile folder, and creates it only if absent, then uploads the signed packet with a date in its name. A row is written for each document supplied (the agreement and the separate arbitration agreement, tax form, business licence and the two insurance certificates), with the vendor's stated expiry dates stored as notes.

05

It never marks anything compliant

Status is set to received, pending review; the two agreements are modelled as separate instruments and a missing arbitration signature is flagged; and expiry dates are left for a person to verify. A post to the intake channel says what arrived and what is missing.

The outcome

  • Built in September. The send scenario was run on 5 September: the first attempt failed on a search formula in an earlier version, and the second succeeded.

  • The submission watch is live. The send and reminder scenarios are switched off.

  • The run history is short, so this page describes a design rather than a volume.

Where it stops

This covers the intake stage of a larger vendor cycle; the review, cure and cycle-close stages are built separately and are not described here. The cycle record and year are fixed in the send and reminder scenarios, so a new year needs them updated. The reminders match the exact day, so a day the scenario is off skips that reminder for good. The submission watch has no error handler of its own, so a failure in it raises no alert, and its create-the-vendor route has not been exercised.
