Every touchpoint, perfectly timed.
From booking to follow-up, a multi-stage automation handles reminders via WhatsApp, tracks attendance, triggers no-show workflows, and syncs every state back to Airtable. Staff never re-enters data.
Al Das Medical Clinic manages a multi-specialty practice handling thousands of patient interactions monthly. Manual workflows across appointment scheduling, patient follow-ups, screening campaigns, lab result distribution, no-show recovery, and dormant patient reactivation were consuming 40+ hours per week of clinical staff time — time that should have been spent on patient care, not data entry and reminders.
The clinic needed a production-scale automation backbone that could orchestrate patient journeys across 15+ data points, sync seamlessly with their EHR (Unite) and data hub (Airtable), and scale to meet the clinic's 2,000+ active patient base without breaking.
We built a 45+ Make.com scenario suite that treats the clinic's patient lifecycle as a connected system. Every trigger — a new appointment, a missed lab, a preventive screening due date — fires a precisely orchestrated workflow that moves the right message to the right patient at the right time, while keeping Airtable and the EHR in perfect sync.
This isn't a collection of one-off automations. It's a patient-centric automation platform where each scenario plays a specific role in a larger care orchestration engine. Appointment reminders sync lab results. No-show recovery flags dormant patients. Preventive campaigns trigger outreach based on clinical guidelines. All of it updates the source of truth in real time.
From booking to follow-up, a multi-stage automation handles reminders via WhatsApp, tracks attendance, triggers no-show workflows, and syncs every state back to Airtable. Staff never re-enters data.
Lab orders are created in the EHR, synced to Airtable, results are pulled and formatted, and patients are notified via WhatsApp with actionable summaries — all without a single manual step.
Automated campaigns that pull patient demographics and clinical history from Airtable, determine which patients are due for screenings (diabetes, hypertension, cancer, etc.), and send personalized outreach across WhatsApp and email.
A time-based automation identifies patients who haven't visited in 6, 9, or 12 months and triggers a graduated outreach sequence: first a friendly check-in, then a health update offer, finally a clinical concern flag if they need urgent attention.
Bidirectional webhooks ensure that every appointment, lab order, patient update, and clinical note in the EHR is mirrored to Airtable in real time, and any field update in Airtable cascades back to the EHR — no lag, no manual reconciliation.
When a patient misses an appointment, the system enters recovery mode. First: an immediate WhatsApp apology & re-booking link. If they ignore it, 3 days later a follow-up with a health concern flag to staff. If still silent, after 2 weeks the patient moves to the dormancy tracker for long-term reactivation. This cascading approach prevents the clinic from losing patients to simple communication gaps while respecting their time and autonomy.
